Preparation for Phase 3

We are beginning to move books. Books with call numbers at the end (Z, V, U, T, S, R, Q) are being moved to the 3rd floor between the Periodical Backfiles and the Hawaiian Collection. Next week, the Hawaiian Collection will be moving from the 3rd floor to the 2nd floor and the books with call numbers P will be taking its place.

Newspaper backfiles are now located behind the Reference Collection between the Sorting Shelves and Government Documents.

September 2007 Update

Re: Update 2: Renovation of the Edwin H. Mookini Library

The renovation of the third floor is complete! Over the Summer 2007 break, library services located on the second floor (Reference, Circulation, Library Instruction, and Library Administration) moved to the third floor so that Phase II can begin.

The Phase II asbestos abatement on the second floor (the main floor of the Mookini Library) is complete, and they are painting all the walls and installing new carpet and tiling.

Currently, we are hoping to begin moving some library services back down to the second floor beginning in October 2007 and continue to plan to reopen the second floor with full services by early January 2008.

Once again, the scope of the renovation includes, but is not limited to:

• New air handlers for entire building
• Installation of two 24/7 air conditioned areas for the journals and microforms on the third floor and the Hawaiian and Special Collections on the second floor, with 24/7 dehumidifiers installed in the ceiling of these areas
• New carpeting for the entire building
• New floor tiling for the entire building
• New painting throughout the entire building
• Renovation of the Hawaiian Collection office space
• Renovation of the Instruction office space
• Installation of an updated security camera system
• Asbestos abatement
• Installation of compact shelving on the first floor
• Installation of a self-check out book system on the second floor
• Installation of additional book security system
• Installation of a restroom in HITS area
• Creation of several new student collaborative computer work stations
• Increased number of computers for student use
• Increased wireless hubs for student use

To summarize, Phase I: renovation of third floor is now complete. Phase II: renovation of second floor is in process and is expected to be completed in January 2008. Phase III: renovation of the first floor is expected to begin before February 2008.

Before Phase III can begin, all staff currently relocated on the third floor will have to be relocated back to the second floor. All Reference materials will be returned to their original area, all Circulation materials will be returned to their original area, and the Hawaiian Collection will be moved back to the original room.

All materials on the first floor will have to be moved to the second floor, the third floor, or into temporary storage. More information will be available once we know where we will be placing materials during Phase III.

We will once again try to accomplish the tasks associated with Phase III in the most effective and least disruptive fashion in order to accommodate the needs of our students.

The safety and needs of our students and faculty remains a top priority during the planning and implementation of the renovation. Every effort is being made to continue providing services and access to library materials. We ask for your understanding and support as we move through this renovation project together so that we can have a library that will be more functional, efficient, secure, and attractive to our users.

To compensate for the lack of access to some library materials, increased intra-system borrowing (from other UH Libraries) and interlibrary borrowing (from non-UH libraries) will continue to be provided. The Public Services librarians are knowledgeable concerning our collection, and are ready to provide patron assistance in fully utilizing the core materials of our collection.

Greetings:

Anne and I have discused this issue.

I have also spoken to Kolin and gotten his approval.

Steve Hora also has given his approval.

Beginning May 14 and ending June 1 (the last 3 weeks of May). The Library will officially be open from noon until 4 pm.

Kolin's staff will be working with us daily beginning at 7 am to move desks, file cabinets, supply cabinets, etc from the 2nd floor to the third floor.

Library staff will use this time to move their personal work station items to their new location (note, not the desk, but their pictures, staplers, etc).

Renovation students will be working on moving the books from the 2nd floor to where they need to be moved.

We are giving ourselves 3 weeks of 1/2 day service so we can move things in a safe fashion and not endanger any library users. Our goal is that we can actually accomplish the majority of the work by the end of the 2nd week and open to regular hours beginning May 28th if possible.

During this time period, I will once again be working with Rotary and other clubs to see if they can come and help us.

During this time period, depending upon funding, there will be an opportunity for staff who want to earn overtime by helping to move books between floors. This is voluntary!

Anne will be sending out more details as the plans are finalized.

Possible new schedule

Phase I: Renovation of 3rd floor is now expected to end approximately the middle of May 2007 with the beginning of Phase II: Renovation of 2nd floor expected to begin approximately six weeks later.

Because all staff currently located on the 2nd floor will have to be relocated to the 3rd floor before the start of Phase II, the Mookini Library will have to be closed for several partial days following finals in Spring 2007. This will be the most effective and least disruptive time to accommodate the mandatory move of staff, collections, and computers from the 2nd floor to the 3rd floor. When the specific dates are established, signage and updates will be available at the Mookini Library Reference and Circulation Desks.

We have had a few reports of staff talking directly to construction people concerning the use of the third floor and other issues. This is causing problems with the coordination of the renovation project.

Anne has been hired as the Renovation Coordinator and needs to handle all of these questions to the construction people or any answers needed by the construction people.

We're Clearing the Third Floor

All older journals (Periodical Backfiles) and all Government Documents have been moved or are in storage.

HITS and Graphics Services are still located on the Upper Level, but this will change in December.

This week at the Edwin H. Mookini Library

Well, this week we hit some milestones and things are looking a little clearer. On Sunday, 10/29/06, Rotaract, Rotary Club and a mixture of campus staff and faculty volunteers finished the work of our hard-working renovation student workers: Gov Docs is cleared!

In addition, more shelves have been erected on the 1st floor behind H section and in front of J section. And a new list for further boxing of periodicals has been generated. The renovation students have even gotten a start on it. Also, the A/C is up and running and the padlocks have been installed on the containers in the loading dock area. This means that all the boxes and the periodicals can begin being moved off the 3rd floor! The boxes will go into the containers, and the periodicals will soon start moving to the 1st floor. Other areas that are ready to move, or be moved into include: the Archive room, which Karen Nishida has gone through and prepared; the 1st floor storage room has been cleared and cleaned and now has several racks of shelving, which was assembled by the renovation student staff; and the new break room on the 2nd floor, which is ready to be filled with necessary items from the 3rd floor break room.

This coming week promises to be just as big in terms of accomplishments. In fact, we’re starting to think we might actually pull this off by the deadline :-).

Make a Difference Day, Saturday, Octocter 21, 2006

HawCC/UHH Students Make a Difference!

On Saturday, October 21, 2006, over a hundred HawCC/UHH students gathered at the Campus Center Cafeteria at 8:30 am to begin a day of volunteer work on campus. One group of students volunteered to work at the Edwin H. Mookini Library, which is in the process of preparing for a major renovation. The project will have three phases, one for each floor, beginning with the third floor, which must be cleared before the contractor can begin. The first phase of the renovation is slated to begin on December 18, 2006. The completion is tentatively scheduled for December, 2007. Today, students assisted library staff in moving the bulk of the Government Documents that will be available during the renovation from the third floor to the second floor. Periodicals, which are also housed on the third floor, will be moved to the first floor with the help of volunteers from the Rotaract and Rotary Clubs next week, Sunday, October 29, 2006.

Events on Saturday, October 7th

A lot happened on Saturday, October 7th. With the help of Kolin and his crew, and the help of Anne, Morgan, and several new renovation students, we fully loaded 2 trailers with boxes.

All the boxes from the third floor are now in trailers.

We also ALMOST completed the task in room 126. It should be emptied by Wednesday of this week.

Thanks to Adi and her Access Services students, we emptied the storage closet on the third floor and moved the contents to Room 219.

Michelle was working on taking Room 219 off the student study room list until after the renovation.

We also did some more work to bring the Technical Services storage area into compliance with fire code and ADA regulations.

The loading dock was filled with items that will be taken to the dump by Kolin's staff on Monday.

Project for Saturday October 7

Beginning at 7 am on Saturday October 7, 2006 Kolin and his crew will begin to move all boxed items into the storage container. This week the priority is to have all students boxing identified periodicals and indexes. The more we box now, the less our students will have to load into the trailers later.

Extra Student Help Approved by Bill Chen

After several conversations yesterday we have resolved the situation.

The library will hire 6 students instead of 4, at 20 hours per week, and the account number will be provided by LoLi via Lois.

The library will hire these students through our regular process, but the payroll will be from the account number provided above.

When the three inter-phases happen, we will work with Kerwin and other officials to hire temporary help for the three periods that are about 2 weeks in length. This will be necessary because these inter-phases happen during graduation and summer projects. Kolin's crew is already stretched to the max, the library is stretched to the max, and we cannot have the students work more than 20 hours a week.

We will move forward on the temporary helpers as we approach the first inter-phase.

Summer Projects Update

In preparation for the boxing of journals duplicated in an electronic format, and government documents not frequently used, in addition to the other projects listed, students will be wiping down all items in the periodical collection and government documents collections with alcohol.

Here is an update on the summer projects:

1) Students should continue with the discarding of the NUC materials. Students are asked to please use the industrial strength bags for the discarding since we are having a hard time getting boxes.

2) Lari-Anne will begin weeding of materials in the J and K sections of the collection beginning the week of June 5th. She will work with Michelle and Jaci for student workers and will work with Avis concerning the pulling of title pages and bar codes.

3) Amy Saxton is reviewing the periodicals list for the decision of what will be boxed for storage and what will be moved to the 1st floor. The first priority will be the boxing of items for storage. The boxing of periodicals will not begin until we have instructions from Manoa on how to update the Voyager catalog to show the paper version of these materials are not available.

4) Amy Saxton will be working on the weeding of gift books. She will work with Michelle and Jaci for student workers.

5) Stephen will begin a project of numbering all the stack ranges and shelves. You will see DOTS placed on most ranges and shelves. These DOTS will be used to help mark the boxes of items we pull from the shelves and box during storage. Each staff member will be given a slip of paper to make suggestions on what we want the final renovation to look like. Details and the paper slips will be handed out at the June 2, 2006 pre-construction meeting.

Access Services Task with Shelving

Access Services will be responsible for drawing on the blue print the current arrangement of shelves to scale on the blueprint.

In addition, Access Services will be responsible for counting:
1) the number of ranges in the library and their location,
2) the number of shelves in the ranges as indicated above, and
3) the number of empty shelves in the ranges as indicated above.

The tentative deadline for this project is May 19th

Scope of Renovation Work:
New air handlers for entire building,
New carpeting entire building,
New painting entire building,
New tile entire building,
24/7 dehumidifiers installed in ceiling,
2 separate a/c units for periodicals area (3rd floor) and Hawaiian Collection,
Renovation of Hawaiian cubbies into 1 office,
Renovation of Instruction Office into 3 independent offices,
Installation of security camera system,
Asbestos abatement

Time Table:
Begin January 2007 and complete by Fall 2007?

Coordination of Project:
Under the guidance of the University Librarian a Task Force Team will be created to plan, implement, seek staff input, and communicate status of the project. Members from the Environmental Committee as well as representatives from each major area (Access Services, Technical Services, Systems Services, Collection Services, Public Services, Instructional Services, Graphics Services, and Administrative Services) will serve on the Task Force.

Vision of Project:
Plans for this renovation project will primarily be designed around the needs of our student patrons, while realistically acknowledging that during the renovation the Library cannot continue to provide all services and access to all materials.

The renovation plans will attempt to provide the highest level of services we can reasonably sustain during this extensive renovation, while creating the least amount of stress for our student patrons and our library staff.

Roles:
Linda as Chair will assume the responsibility for the planning and implementation with strong input, advice and assistance from the various Task Force Members. She will be responsible for the final decision-making.

Task Force Members will be responsible for sharing comments on how proposed tasks, timelines, and policies will affect individual units and be available for constructive advise and assistance during the renovation preparation phase and during the renovation project.

Meetings
Every attempt will be made to limit meetings to two per month, with each meeting not exceeding one hour in length. It is expected that not all Task Force Members attend every meeting. It is expected that meetings that address specific work units / areas will invite staff from those areas.

Communications
Information about the progress of the renovation and decisions made by Task Force members will be posted on the Mookini Library Renovation Blog. Training on how to subscribe to the blog will be provided by Amy Saxton in January 2006.
